Description

The Administrative Assistant: Adjudication will provide comprehensive administrative support to the Adjudication department, ensuring smooth operation through diligent office coordination, compliance with policies, and effective document and records management. This role is integral to maintaining high standards in daily tasks, managing correspondence, and supporting meeting logistics, contributing to the efficient functioning of the department.

Responsibilities

  • Compliance Administration: Keep all departmental documentation up-to-date
  • Ensure compliance with policies, internal standards, and control processes
  • Office Coordination: Follow up on outstanding matters and manage department stationery
  • Validate, verify, and allocate reference numbers for accurate document capturing
  • Draft and send letters to stakeholders and ensure system updates
  • Meeting Support: Schedule meetings, prepare agendas, and take and distribute minutes
  • Track meeting resolutions and maintain team schedules
  • Set appointments with internal and external stakeholders as needed
  • Document and Records Management: Maintain an up-to-date filing system as per RAF’s filing plan
  • Retrieve and handle documents, ensuring confidentiality
  • Record data in systems, manage document flow, and allocate file numbers

Qualifications

  • Matric or Grade 12 certificate
